Staff Questions

How do I get the App onto my smartphone?

If you have an Apple device, iPhone or iPad, you can download the free app on the App Store, or via iTunes. If you have an Android phone use Google Play. Alternatively you can use the web app in any browser such as safari, firefox or chrome - just click login/register at myrsa.com.au. N.B. To set up your profile you cannot use the iPhone App, you must use a web browser and click login/register at myrsa.com.au. Alternatively your employer can set you up through their manager login.

How do I connect with a Venue?

You will need to get the venue code from the venue/department manager. Once you have the code, you can enter it by pressing Add Venue on the My Venues page of the App. The venue manager is then required to confirm your connection.

The managers will then be able to view your compliance documents, such as the photo of your RSA card, and your expiry date. Other stored personal documents can only be seen by a venue if the document setting is not private. If a manager makes any changes to your documents or profile then you will get a notification.

My Venue has set me up with a MyRSA account, how do I edit my details?

You will have received an email confirming your login details. Either download the App now or go to the myrsa.com.au website then log in. Go to My Profile as well as Settings to change or update your details.

Can I disconnect from a Venue?

Yes, you can click the Status ‘link’ icon in My Venues, and you will be able to disconnect from a venue at any time. You should be aware that when you disconnect the venue will be notified and have access to your documents for 48 hours.

Can I store a document without sharing it with my employer?

Yes you can store any document you wish which by default will be set to ‘Private’. Untick this box if your employer requires a copy of it (for example a forklift licence). The exception is for certification documents (RSA, RCG/RSG and Privacy – ID Scanners) which cannot be set to private.

Do I still need to carry my NSW competency card or interim certificate if I have them on the App?

NSW legislation requires you to carry the competency card on you whilst working or have it readily available (e.g. in your bag in a staff locker), otherwise you face a $50 fine. Recent changes in regulations mean a digital copy through the Service NSW app will suffice. You will still require the image to be loaded on the MyRSA app to connect with your venue.

Can I print a document or save it to my computer from the App?

Yes, go to My Documents, open the image of the document then click on the image. It will open in a new tab where you can save or print it.

How do I get notified when my documents are expiring?

We send you both a push notification and an email one month and one week prior to the expiry of each document as well as on the day and the day after they expire. The notification will let you know where you last did your training amongst other relevant information.

Why aren't I receiving email notifications?

Depending on your email provider and their security settings sometimes emails may be placed in your junk/spam folders. Please check these folders for any emails from @myrsa.com.au and mark them to your safe senders list. if your email is a work email or part of an organisation as opposed to free email providers such as hotmail or gmail then you can contact your I.T. department and request them to 'whitelist' emails from the domain 'myrsa.com.au'

How does my employer know if I make changes or update my documents?

MyRSA will notify managers of your connected venues if you edit your documents and when you replace them.

Can I apply for a job through MyRSA?

MyRSA allows jobs to be posted online and notifications are sent through the App when a job is posted. If you are connected to a venue though, you will not receive these notifications or view the job page. There is a public job board however on the MyRSA website www.myrsa.com.au

I want to keep my documents and account but I don’t need to receive notifications anymore, is this possible?

Yes, go to the Settings page and untick ‘Receive Notifications’. However you will not receive notifications anymore of your expiring documents. You should consider instead to disconnect from your venues if you are no longer working for them.

Venue Questions

Can I use the App to set up my account and venues?

You will need to set up a manager profile and venue account on a computer using a web browser, this cannot be done using the iPhone App. You can then upload staff documents from either your computer or through the iPhone and Android MyRSA Apps and you will need the phone camera to capture staff documents when required.

What are the subscription costs?

Once a venue account has been set up a small subscription is required for adding users (staff) and documents. The current fee structure is found on the Venues page. Downloading the App is free.

How do I get notified when documents are expiring?

We send the Venue Manager both a push notification and an email one month and one week prior to the expiry of each staff document as well as on the day and the day after they expire. The staff will get notified too. Group Managers and Department Managers do not receive notifications.

In NSW a venue no longer needs to keep a register for competency cards so why do I need MyRSA?

The venue managers need to be aware that all staff are compliant otherwise the licensee can be breached along with the employee. Significant fines are involved for both.

In NSW staff now can use a digital licence for their RSA competency so why do we need MyRSA?

The venue managers need to be aware that all staff are compliant otherwise the licensee can be breached along with the employee. Significant fines are involved for both. MyRSA works in conjunction with the digital licence, simply take a screen shot of the licence and upload to the staffmember's profile as a new document.

I have reached the maximum number of staff that my subscription allows. How can I add more staff to my account?

You can upgrade your subscription anytime. Log in to your MyRSA manager account using a web browser (not the App) and go to the Subscription page, click on Change Plan to a higher level and use an existing stored credit card or alternative card then click Purchase. Your new six month subscription will commence from this date. Any remaining days on your previous plan are now redundant.

I have a venue with 2 bars and a restaurant. Do I have to set up departments and department managers?

That is completely up to you but is advisable if you have a lot of staff to manage. Staff can be allocated to multiple departments but department managers can only manage the staff in their department and they do not receive notifications. Venue managers receive notifications and can control all staff documents.

Do I have to create a new venue or department manager profile for a manager who is already a staffmember with a MyRSA account?

Yes they must be separate profiles. A manager will need a normal staff/user account which is their personal MyRSA profile to use anywhere they work. The manager profile however is unique to each venue and should be deactivated when the manager is no longer employed there. Manager profiles cannot be transferred to other departments or managers, a new profile will have to be created.

Other Questions

How can I send a message to all the staff just in one department?

Easy, go to My Staff then press the filter ‘hourglass’ icon. Select the appropriate department then press Filter. Tick the box ‘Staff’ then press Message, create your message and send. Staff can reply to the message which will be sent to your email. Staff cannot message each other or see other staff details. You can view previous message on the page Message Logs.

How do I retain staff document information when they have disconnected?

If a staff member disconnects from your venue, you will have 48 hours before their information is unavailable to you. During this time, you can save and print the information from a computer.
